1. Introduction
Omnity Labs ("we," "us," or "our") operates the FlockTrail platform (https://flocktrail.com). We are committed to protecting the privacy and security of your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Member Management & Community Platform.
This policy is designed to comply with United States federal and state privacy laws.
2. Our Role: Service Provider vs. Business
To clarify how we handle data under US privacy frameworks:
- When we act as a "Business": We are the Business for information regarding our direct customers (Organization Admins), billing contacts, and the "Unified Login" credentials used to authenticate users across the platform.
- When we act as a "Service Provider": For member lists, event signups, custom profile fields, and financial records managed by an Organization (e.g., a club, association, or non-profit) using FlockTrail, that Organization is the Business, and FlockTrail is the Service Provider. We process this data solely to provide services to the Organization.
3. Information We Collect
A. Information You Provide to Us
- Account Registration: When you register for a Unified Login or Admin account, we collect your name, email address, phone number, and password.
- Organization Data: If you create an Organization on FlockTrail, we collect organization details, billing addresses, and payment configurations.
- Member Data (Processed for Organizations): Member names, contact details, membership status, custom field data, and event attendance records uploaded by Organization Admins.
- Payment Information: We collect transaction history. Note: We do not store full credit card numbers. Sensitive payment data is processed by third-party providers (Stripe and PayPal).
B. Information Collected Automatically
- Usage Data: We collect information on how the Service is accessed and used. This includes your computer's Internet Protocol address (e.g., IP address), browser type, browser version, the pages of our Service that you visit, the time and date of your visit, the time spent on those pages, unique device identifiers, and other diagnostic data.
- Tracking & Cookies Data: We use cookies and similar tracking technologies to track the activity on our Service and hold certain information.
- Session Cookies: We use these to operate our Service and maintain your active session.
- Preference Cookies: We use these to remember your preferences and various settings.
- Security Cookies: We use these for security purposes to prevent fraud and unauthorized access.
4. How We Use Your Information
We use the collected information for the following business purposes:
- Service Delivery: To provide, operate, and maintain the FlockTrail platform.

5. Sharing of Information
We do not sell your personal information.
We disclose data only to the following third-party service providers strictly for business purposes:
- Hosting & Infrastructure: Google Cloud Platform.
- Communication Services: Microsoft Azure (used for sending Emails and SMS).
- Search Services: Algolia (used to provide fast, relevant search results within the platform).
- Payment Processing: Stripe and PayPal.
- Analytics Partners: We may use Google Analytics to monitor and analyze the use of our Service.
- Legal Requirements: We may disclose information if required by law or in response to valid requests by public authorities (e.g., a court or government agency).
- Business Transfers: In connection with any merger, sale of company assets, financing, or acquisition of all or a portion of our business.
6. International Data Transfers
FlockTrail is headquartered in the United States. Your information, including Personal Data, may be transferred to — and maintained on — computers located outside of your state, province, country, or other governmental jurisdiction where the data protection laws may different from those from your jurisdiction.
If you are located outside the United States and choose to provide information to us, please note that we transfer the data, including Personal Data, to the United States and process it there. Your consent to this Privacy Policy followed by your submission of such information represents your agreement to that transfer.
7. Links to Other Sites
Our Service may contain links to other sites that are not operated by us. If you click on a third-party link, you will be directed to that third party's site. We strongly advise you to review the Privacy Policy of every site you visit. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party sites or services.
8. Security of Data
The security of your data is important to us, but remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While we strive to use commercially acceptable means (including SSL encryption and strict access controls) to protect your Personal Data, we cannot guarantee its absolute security.

Depending on your state of residence, you may have specific rights regarding your personal information:

- For data related to your membership in a specific Organization, please contact that Organization directly. We cannot delete Organization-controlled data without their authorization.
10. Children's Privacy (COPPA)
Our Service is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and you believe your child has provided us with personal information, please contact us. If we become aware that we have collected personal information from a child under 13 without verification of parental consent, we will remove that information from our servers.
11. "Do Not Track" Signals (CalOPPA)
We do not currently respond to "Do Not Track" (DNT) signals from web browsers, as there is no universal standard for how to respond to such signals.
12. Data Retention
We retain your personal information only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use your Personal Data to the extent necessary to comply with our legal obligations, resolve disputes, and enforce our legal agreements and policies. Usage Data is generally retained for a shorter period of time, except when this data is used to strengthen the security or to improve the functionality of our Service.
13. Changes to This Privacy Policy
We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page. We will also let you know via app or website and/or a prominent notice on our Service, prior to the change becoming effective and update the "Last Updated" date at the top of this Privacy Policy.
